Conclave: Event Management Platform

500 registrations. 40 events. One platform that runs the ops so the organisers can run the room.

conclave.code.in is the event management backbone for a developer community running coding competitions, hackathons, and workshops. We built the platform to handle registrations, partner coordination, communications, and post-event tracking so the organiser team could focus on the programme, not the spreadsheets.

The starting point

The team running Conclave had the hardest kind of problem: they were too successful to manage events manually, but not yet at a scale where commercial event platforms made economic sense. Each event involved partner coordination across multiple institutions, multi-stage registrations for different event formats, and communication flows that needed to reach different groups at different times. They were managing all of this in Google Forms, WhatsApp groups, and shared sheets.

What we built

We built the platform around the workflow of the organiser team, not a generic event template. Each event had a configurable registration form, a partner-facing dashboard showing their institution's registrations, and a communication layer the team could use to send targeted updates. For competitions, we built bracket and result management so teams could record and publish results without switching tools. The system was designed to be operable by a small volunteer team under event-day pressure.

What changed

Conclave has run over 40 events on the platform, with 500+ registrations managed and 5+ institutional partners integrated. Event-day operations now run from the platform rather than a WhatsApp group, which has reduced coordination errors and given the team a permanent record of every event.
